CLUB MEDIA DAY FAQ
How far ahead should we book?
Please book at least one month ahead, subject to availability, so we have time to prepare your club’s designs, organise player registrations and plan the day
Tell us your approximate player numbers and venue details when you enquire so we can discuss the right arrangements for your club
When will our photographs be ready?
Your player galleries will be ready within 72 hours of your Club Media Day
How long do parents have to order?
The club ordering window is usually around three weeks, with the deadline arranged around month-end where possible to give families paid towards the end of the month a chance to order
We’ll share two clear dates: the deadline for club delivery and Club Cash Boost eligibility, and the gallery closing date — six weeks after the gallery goes live
Orders after the club deadline can still be placed while the gallery is open, with home delivery and a postage and packing charge
How long will printing and delivery take?
Please allow 5–7 working days after the club ordering deadline for printing and delivery to Sports Frame-Studio
I’ll then quality-check the prints before arranging handover to your club for managers or coaches to distribute — quality checks and club distribution take additional time
What does the club need to provide?
A suitable indoor venue with electricity, enough room for a backdrop and studio lighting, a separate waiting area for players, and a club organiser to coordinate the day
Player numbers, venue suitability and safeguarding arrangements are confirmed before booking
How will I receive my print order?
Orders placed by the advertised deadline will be delivered together to your club, where team managers or coaches will hand them out to families
Orders placed after the deadline will be sent directly to your chosen delivery address via Royal Mail, with a postage and packing charge added to your order
Please check your gallery’s ordering deadline before purchasing
Do orders placed after the deadline count towards the Club Cash Boost?
No — only orders placed by the advertised deadline qualify for the Club Cash Boost
You can still place an order after the deadline, but it will not contribute to the club’s payment and will be delivered to your address via Royal Mail with a postage and packing charge
Can we cancel or change our date?
Please give at least two weeks’ notice if your club needs to cancel or rearrange its Media Day
If something unexpected happens within two weeks of your booking, contact us as soon as possible — we’ll review the circumstances and work with you to find a suitable solution
Where possible, we’ll offer an alternative date, subject to availability and enough time to complete any remaining preparation
Repeated cancellations or last-minute changes may affect whether we can accept future bookings
When will our club receive its Cash Boost?
Your Club Cash Boost will be sent once all eligible Media Day orders placed by the advertised deadline have been completed and the final sales, printing and packaging costs have been confirmed
We’ll provide a clear breakdown showing how your club’s 20% share has been calculated, then arrange payment with your nominated club contact

I’m Lee, the photographer behind Sports Frame-Studio, based in Hawarden, North Wales
I have over five years of photography experience, starting with weddings, families and pets before discovering a passion for sports photography through my own son and daughter playing football
Watching from the sidelines, I decided to get the camera out and capture them in action — and that’s where it all began
Now I’m bringing that experience together with personalised poster designs, giving grassroots players their own moment in the spotlight and families something special to keep
As a football parent, I’m also passionate about helping grassroots clubs raise extra funds, supporting the opportunities, equipment and coaching that help young players develop and pursue their ambitions in the game
